Principle / Overview

To prevent TAP lab becoming a dumping group for hardware items of dubious value, a simple policy for donation acceptance is required.

All members of TAP lab and parties that interact with TAP lab.

Reason for policy

Like a hard drive, physical storage space is always 80% full. TAP lab needs to ensure that items using its limited storage space are of high value to members.  

Policy details/Implementation

  1. TAP lab does not accept unsolicited hardware donations, unless an item is sponsored.
  2. An item many be sponsored by a committee member, on the basis that:
    1. There is an immediate need for the item at TAP lab as a whole, or
    2. That there will be a need for the item in the near future, in accordance with TAP lab’s current objectives, or
      • e.g. Networking gear that matches an known upcoming need for TAP lab networking.
    3. That the item replaces an existing TAP lab item of lower specification.
      • e.g. A 17” monitor to replace a 15” monitor
    4. Items sponsored for the benefit of TAP lab as a whole may be stored in the communal storage areas.
  3. An item may be sponsored by a TAP lab member, on the basis that:
    1. They have a use for the item in a project they are currently, or
    2. Have a use for the item in a project they will soon be working on.
    3. The member stores the item with their personal storage area in the lab.
  1. A sponsor is accountable for ensuring that any item they sponsor:
    1. Is of good repair or organise its repair within a reasonable timeframe (see 4.d.).
    2. That the item is immediately or can soon be put to good use.
    3. That the item does not occupy undue space in the lab for the benefit it provides.
    4. Organise the disposal of an item if it eventuates that it is not useful or used after a period of 6 months.
