Who we are
TAP lab Incorporated. This policy refers to the use of the website ‘TAP lab Safety and Learning’ safety.taplab.nz
The purpose of this website
The intended audience of this website are users of the TAP lab makerspace in Auckland, New Zealand.
The website was created to:
- provide safety and training materials on the equipment and tools available for use within TAP lab.
- provide an account for each user of TAP lab that stores which equipment they hold licences to use. Equipment rated ‘moderate risk’ or higher requires a training induction or more to gain a licence to use (as per the TAP lab Safety Procedures).
- provide a list of ‘Trainers’ for equipment. These are users that are able to competently use this equipment and are trusted to issue the licences to others.
Roles: Members, Facilitators, Trainers, Licence Admins and Site Admins
Members
In this policy ‘Members’ refers to anyone that has an account on this site in order to keep their licence info. Most will be full members of TAP lab but there may also be some people who are not members of TAP lab but use TAP lab and therefore require this info be stored for them as well. In order to independently use equipment rated ‘moderate risk’ or higher members will be required to have an account on this website to store which equipment they hold licences for. Members are required to be able to show this information at any time they are in TAP lab using this equipment. The licence information for each member is stored in their account that they have the log in details to view. There is also a url they can use a QR code to access where they can view their licences without needing to log in. It may also be emailed to them.
Facilitators
Facilitators are people who run workshops or events at TAP lab. If deemed necessary for health and safety reasons they may be given view access of Members licences but not their contact details.
Trainers
Trainers are Members who are able to competently use an item or item/s of equipment and are trusted to issue the licences to others. Trainers names will be publicly viewable on this website. Instead of using your full name this comes from the ‘Nickname’ field that you can set within your profile. By default administrators will either make this just your first name or first name and first initial of your last name. You can set this to whatever you like as long as the nickname is easily recognisable as you to other Members at TAP lab. Trainers must consent to becoming a Trainer.
Licence Admins
Licence Admins hold backend access to the website and can update user profiles. This level of access will be held by TAP lab staff with roles that relate to this (e.g Technician) or by TAP lab members that have been given this role by the executive committee. The committee should only be giving this role to trusted members for the purpose of performing the administrative task of updating licences for Members.
Site Admins
Sites Admins have full access to all information stored in the website.
Your information
The information that is stored about you is:
- Identifying information: First name, last name, email address, nickname, your username
- TAP lab information: any licences you have earned (including trainer licences), volunteer appreciation/reward credit.
We use a separate system (Salesforce) for managing TAP lab memberships, further personal information and membership payment tracking. Your basic information (see 2 points above) is synced from this site to Salesforce.
Licences
The functionality for the licences uses a wordpress plugin for badges. Logs are kept for any updates to licences. This information is important for accountability reasons, this data will be stored indefinitely.
Slack
Trainers who are not Licence Admins will use a private slack channel to post when they have trained Members. This is a means to provide the information to a Licence Admin to update. It also gives a record for accountability purposes as to who provided training and when.
Comments
The comment functionality of the website is not in use.
Media
If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.
Cookies
This website uses cookies for session information.

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

Who we share your data with
If you request a password reset, your IP address will be included in the reset email.
What rights you have over your data
If you have an account on this site, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.
How we protect your personal data
While we take all reasonable precautions to ensure your user data is secure and that users are protected, there always remains a risk of harm. The internet as a whole can be insecure at times and we are unable to guarantee the security of user data beyond what is reasonably practical.
